Privacy notice

How the Bits&Chips Event 2026 app handles your personal data, and the choices you have.

Who is responsible

High Tech Institute, host of the Bits&Chips Event 2026, is the data controller for personal data processed in this app: it decides why and how your data is used. Questions and requests regarding your data can be sent to High Tech Institute via the contact details on the official event website.

The app is designed, built and maintained by In Time Tec, the event’s software partner. In Time Tec acts as a processor: it only processes personal data on behalf of and on the instructions of High Tech Institute, under a data processing agreement, and never uses it for its own purposes.

Your choices

  • I have read the privacy notice(required to use an account)

You acknowledge how the Bits&Chips Event app processes your data: your account is needed to personalise the program, send you notifications you ask for and, if you choose, to let other participants find you.

  • List me in the participant directory

Other logged-in, registered participants can see your display name, company, job title, interests and short bio. Your e-mail address and phone number are never shown here.

  • Share my contact details with connections I accept

When you accept a connection request, that person can see your e-mail address (and phone number if you entered one). You can withdraw this at any time.

  • Send me event notifications on this device

Program changes, room updates and reminders for sessions in your agenda, delivered as browser/app notifications.

  • E-mail me event announcements

Occasional e-mails about this edition of the Bits&Chips Event (no third-party marketing).

  • Share my profile with High Tech Institute after the event

High Tech Institute (the organizer) may receive your name, e-mail, company and job title after the event to follow up on the event and inform you about related activities.

  • Keep my profile available for networking after the event

Keep your profile and connections available after the event so participants can stay in touch. Without this, your personal data is deleted 30 days after the event.

You can change every choice at any time under Your data & consent. Withdrawing consent does not affect processing that happened before.

How your data is protected

  • All personal data (name, e-mail, phone, profile) is stored encrypted with AES-256-GCM using a unique key per participant. The keys that unlock these are kept outside the database, so a copy of the database alone reveals no names, e-mail addresses or phone numbers and cannot link records to people.
  • Sign-in is passwordless: there are no passwords to steal. Sign-in links expire after 15 minutes and work once.
  • Nothing about you is visible to other participants until you opt in; your e-mail address and phone number are never shown in the directory.
  • Access to personal data by the organizer is logged. Exports to the organizer contain only participants who consented to it.
  • Deleting your account irreversibly destroys the encryption key for your data (“crypto-shredding”).

Retention

Your personal data is deleted 30 days after the event unless you asked us to keep your profile available for networking. You can delete your account at any time. Pseudonymous technical and consent logs (which contain no personal data) are kept for up to 12 months to demonstrate compliance.

Your rights

Under the GDPR you have the right of access, rectification, erasure, restriction, portability and objection, and the right to withdraw consent at any time. In this app you can download all your data and delete your account yourself under Your data & consent. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Recipients

Other participants see only what you chose to share. High Tech Institute (the controller) receives your profile after the event only if you consented. In Time Tec builds and operates the app as processor under a data processing agreement; e-mails are sent through the organizer’s e-mail provider; push notifications are relayed by your browser vendor’s push service (Apple, Google or Mozilla), which only sees an encrypted payload.
